HOTEL COLLINGWOOD TERMS & CONDITIONS

MAKING A BOOKING
To make a booking, you may either book online at www.hotelcollingwood.co.uk, telephone our reception team at 01202 557575 or email info@hotelcollingwood.co.uk
A booking is only guaranteed when confirmed in writing by email, letter, or fax. Please check the confirmation carefully as soon as you receive it. Please contact the hotel immediately if any information which appears on the confirmation, or any other document appears to be incorrect or incomplete.
Subject to this, we cannot accept any liability if we are not notified of any inaccuracy in any document within 14 days of our sending it out. We will do our best to rectify any mistake notified to us outside these time limits, but you must meet any costs involved in doing so. The only exception to this requirement to meet costs is where the mistake in question was made by us, and there is a good reason why you did not tell us about it within these time limits.
For all private reservations, we request a credit card when making the reservation.
The person making the booking (“the party leader”) must be at least 18 and must be authorised to make the booking based on these Booking Conditions by all persons named on the booking. By making a booking, the party leader confirms that he/she is so authorised and that all party members agree to be bound by these Booking Conditions.
RATES, PAYMENT, CHANGES AND CANCELLATION
Best available rates
These are rates based on room only, bed & breakfast and dinner, bed & breakfast. The following terms apply to bookings made at these rates: –
BEST AVAILABLE RATE
- Credit card guarantee required at time of booking.
- Payment will be required on departure from the hotel.
- Cancellations and amendments are available up to 48 hours prior to arrival. After this, the full accommodation charge will be charged to the credit card provided.
ADVANCED PURCHASE RATE AND SPECIAL OFFERS
These are reduced rates based on room only, bed & breakfast or dinner, bed and breakfast where bookings are made at least 1 month in advance or rates based on any special offer, Sunday saver rate, last minute offers, seasonal offers such as Easter, Christmas, Valentine’s weekend and other busy times.
The following terms apply to bookings made at these rates: –
- Full credit card prepayment is required for the duration of stay.
- Full prepayment charged to the credit card between the time of booking and the day of arrival.
- The hotel will not refund the payment in the event of a cancellation or non-arrival.
- No changes can be made to the booking without Hotel Collingwood levying cancellation charges of the full cost of the booking.
PAYMENT
Payment for incidental extras; drinks, and food must be made directly to Hotel Collingwood before you check out
THE COST OF YOUR ARRANGEMENTS
Supplements for single rooms or single occupancy of a twin/double may apply. Superior rooms/suites are often available at a supplement.
The prices of unsold arrangements may be increased or decreased at any time. The price of your chosen arrangements will be confirmed at the time of booking. We reserve the right to correct errors in both advertised and confirmed prices. We will do so as soon as we become aware of the error. Please note changes and errors occasionally occur. You must check the price of your chosen arrangements at the time of booking. Once the actual price of your arrangements has been confirmed, no amendment will be made to it.
CHANGES BY YOU
Should you wish to make any changes to your confirmed booking, you must notify us in writing or contact us on 01202 557575 as soon as possible. Whilst we will try to assist you we regret amendment requests cannot always be met. Where an amendment can be made, any costs incurred by ourselves and any costs or charges incurred or imposed by Hotel Collingwood will be payable.
CANCELLATION BY YOU
Should you wish to cancel your chosen break once it has been confirmed, you must immediately contact us on 01202 557575. Your notice of cancellation will only be effective once it is received by our reception team. Depending on the rate you have booked with Hotel Collingwood will depend on the cancellation charges. Please see the above terms and conditions.
INSURANCE
You are strongly recommended to take out personal travel insurance to cover your obligations under your booking contract.
FORCE MAJEURE
Except where otherwise expressly stated in these booking conditions, we regret we cannot accept liability or pay any compensation where the performance or prompt performance of our contractual obligations is prevented or affected by, or you otherwise suffer any damage or loss because of “force majeure”. In these Booking Conditions, “force majeure” means any event we in question could not foresee or avoid, even with all due care. Such events may include war or threat of war, riot, civil strife, terrorist activity or actual threatened terrorist activity, industrial dispute, natural or nuclear disaster, adverse weather conditions, fire, snow and all similar events outside our control.
DAMAGE
Damage to hotel property, furnishings, fittings or equipment caused by you or a member of your party will be charged to remedy any damage caused. Modifications may not be made to the fabric of the hotel or electrical and plumbing apparatus, without consent from the Hotel Manager.
You must comply with the regulations of the hotel, whether internal or enforced by third parties, including licensing, health and safety, and fire.
Hotel Collingwood reserves the right at any time to terminate your stay or that of any member of your party due to misconduct where justified in our reasonable opinion. No refunds will be given. Furthermore, Hotel Collingwood will not be under any obligation whatsoever to pay compensation or meet any costs or expenses you may incur as a result of your stay being terminated.
We reserve the right to charge guests the cost of rectifying damage caused by the deliberate, negligent or reckless act of the guest to the hotel’s property or structure. Should this damage come to light after the guest has departed, we reserve the right to make a charge to the guest’s credit/debit card or send an invoice for the amount to the registered address.
We will, however, make every effort to rectify any damage internally prior to contracting specialists to make the repairs, and therefore will make every effort to keep any costs that the guest would incur to a minimum.
Please do not consume food or drink within the hotel not supplied by Hotel Collingwood unless written authorisation has been given by the Hotel Manager. If you wish to use images of the hotel or our logo, please seek the permission of the Hotel Manager prior to use.
In case of anti-social behaviour - The Hotel reserves the right to refuse a guest entry and accommodation if, on arrival, management reasonably considers that the guest is under the influence of drink or drugs, is unsuitably dressed or is behaving in a threatening, abusive or otherwise unacceptable manner. The Hotel reserves the right to require a guest to leave if he/she is causing a disturbance, annoying other guests or Hotel staff, or is behaving in an unacceptable manner
SPECIAL REQUESTS AND MEDICAL PROBLEMS
If you have any special request, please advise us at the time of booking. Although we will endeavour to assist with any reasonable requests, we regret we cannot guarantee any request will be met unless we have written to you with specific confirmation that it will. Confirmation that a special request has been noted or passed on to the hotel or the inclusion of the special request on your confirmation invoice or any other documentation is not confirmation that the request will be met.
Guide dogs are welcome at Hotel Collingwood, but please make us aware of your requirements at the time of booking.
TRAVEL DOCUMENTS
You are responsible for having all proper travel documents and vouchers. If you are unable to travel or complete a stay by reason of not having proper documents, you will not be entitled to any refund and we will not be liable for any cost or expense that you may incur as a result.
HOTEL INFORMATION
Hotel Collingwood may withdraw or change facilities and services. If possible, we will inform you of any changes before you travel if we believe this will have a significant effect on your stay. Our photographs are intended to give you a general impression of the hotel. Variations can occur from room to room.
CHECK-IN:
Your room will be ready after 3 pm. If you plan to arrive after 11.30 pm please advise the hotel directly by calling 01202 557575. Failure to confirm late arrival with the hotel may result in your room being resold, and cancellation terms will apply. At the time of check your credit card will be required for us to perform an account check. This will verify your ID, provide security and allow you to make purchases in the bar and restaurant and charge them to your room.
CHECK-OUT
Bedrooms must be vacated by 11.00 am on the day of departure. Late checkout is available. Please ask a member of the reception team by calling 01202 557575.
CAR PARKING
When arriving by car, for your convenience, please use our drop-off entrance at the front of the hotel to unload your luggage. Direct bookings receive complimentary parking, and bookings made by third-party agents are charged £12.50 per day. You can park your car in our large car park at the back of the hotel. The car park has its own entrance. If you would like to leave your car in the hotel’s car park after 12pm on your day of departure, please book your parking space at reception for a supplement of £5.00 for the day.
The hotel has its own car park located behind the hotel. On check-in, you may find it easier to pull onto the hotel forecourt to unload any luggage. The car park is accessed behind the hotel. Vehicles and their contents are parked entirely at the guest's own risk.
LEISURE FACILITIES
Our leisure facilities are open from 7.30 am – 9 pm daily. Leisure facilities include a heated indoor swimming pool, spa pool and sauna. These facilities are offered at no extra charge to hotel residents. Please note that it may be necessary to close the pool without notice for health & safety or maintenance purposes
Please ask a member of reception for the code to access the leisure facilities.
LIFTS
There is a lift which operates to all floors including lower ground where the leisure facilities are located.
LUGGAGE ASSISTANCE
Where possible, there will be a member of staff to assist with luggage.
PETS
We are a pet-friendly hotel and welcome dogs. If you would like to bring your dog, please indicate this when booking, to allow the hotel to book you into a dog-friendly room. Please ask a member of reception about our dog-friendly guide. An additional charge of £15 per dog per night applies and is only available to small/medium-sized dogs. Guide dogs are specifically excluded from this policy and are welcome to stay with no supplement.
VALUABLES
The hotel will not be responsible for guest’s valuables.
LAUNDRY / DRY CLEANING
A laundry & dry cleaning service is available, Monday to Friday, through an outside contractor & items should be left at reception by 8.30 am. No liability is accepted by the hotel in the event of loss or damage by outside contractors.
BATH AND SHOWER:
If you require a rubber bath mat, please contact reception before showering, and one will be provided.
TOWELS
We do request that hotel towels are not removed from the bedrooms. Towels for the leisure facilities are available from reception. Please take care when using towels to remove make-up and other cosmetics. Towels damaged in this way will incur a £10 charge.
SMOKING
Smoking is not permitted in any area of the hotel, including bedrooms. Any evidence of smoking in bedrooms will incur an automatic charge of £100 for cleaning.
DRESS CODE
We ask if, during meal times smart casual wear is to be worn.
LOST PROPERTY
Lost property will be kept for a period of 28 days. If claimed, a minimum charge of £5 will be charged for its return.
GENERAL
No allowance may be made for meals not taken or temporary absence when booked on inclusive terms. We reserve the right the amend the services & amenities described & to vary the tariffs.

Please note the information and prices shown on this website may have changed by the time you come to book your arrangements. Whilst every effort is made to ensure the accuracy of the website and prices at the time of printing, regrettably errors do occasionally occur. You must, therefore, ensure you check all details of your chosen arrangements (including the price) with us at the time of booking.
LOCATIONS AND ATTRACTIONS
Please check that attractions are open prior to travelling to the venue.
The information contained on our website is correct to the best of our knowledge. Our website descriptions may refer to activities which are available in the Dorset area. We have no involvement in any such activities, which are neither run, supervised, nor controlled in any way by us.
They are provided by local operators who are entirely independent of us. They do not form any part of your contract with us, even where we suggest operators/centres and/or assist you in booking such activities in any way. Accordingly, we cannot accept any liability in relation to such activities.
We cannot guarantee the accuracy at all times of information given in relation to such activities or about the area you are visiting generally (except where this concerns the services which will form part of your contract with the hotel) or that any particular excursion or activity which does not form part of your contract with the hotel will take place as these services are not under ours or the hotel’s control.
FESTIVE PARTY BOOKINGS
A £10 deposit per person is needed to secure your booking. Deposits are to be paid in full and are non-refundable. All final payments are due 6 weeks prior to your party and must be in full. Final payments are non-refundable. Meals must be pre-ordered 14 days in advance of your party date.
